Calendar Sync

Calendar Sync puts your Ziptask due dates in the calendar you already use. Each person gets a personal link they add once to Google, Apple, or Outlook Calendar; their task-list due dates (and, optionally, start dates) then show up as timed events at their scheduled time, kept up to date automatically.

It’s one-way and read-only — Ziptask sends to your calendar, not the other way around. You can’t complete or edit a task from the calendar, and your calendar app refreshes on its own schedule (usually within a few hours), so changes aren’t instant. This is different from the in-app Calendar view, which is a live grid inside Ziptask.

Calendar Sync is available on every plan. An account owner can turn it off entirely (see Feature Flags and Account Settings).

The link is personal — everyone gets their own, and each feed shows only the lists that person can see (in the account timezone). It’s also per account: if you belong to more than one account, you get a separate link for each (see the Support notes below). The link contains a secret token, so treat it like a password; if it leaks, Regenerate it (see below).

How it works

Open your profile settings. When Calendar Sync is on for the account, a Calendar sync section shows your personal link with a Copy button, plus Add to Google / Apple / Outlook for step-by-step help.

Adding it to your calendar

Tap Add to calendar and follow the steps for your app (in short: copy the link, then in your calendar choose “add/subscribe from URL” and paste it). You only do this once — the calendar keeps itself up to date afterward, on every device where that calendar account is signed in, including your phone.

Options

  • Which dates — choose how each list appears: Start (an event on the start date), Due (an event on the due date), or Duration (one event spanning start → due, like the in-app calendar). Duration is the default. A list with only one of the two dates always shows as a single day.
  • Which lists — Lists I’m on (lists you created or are assigned to) or All lists I can see (everything your role can view). Changing an option doesn’t change your link; the same feed just updates on its next refresh.

What shows up

  • A timed event per list, titled with the list name — at the start time for Start, the due time for Due, or spanning start → due for Duration. Start and due times default to 9 AM and 5 PM in the account timezone. Tapping the event opens that list back in Ziptask.
  • For recurring lists, upcoming occurrences are projected out a few months ahead. Because those future occurrences haven’t been created yet, they’re marked ”· scheduled” in the title and open the in-app Calendar (where you can activate one), rather than a specific list. Once an occurrence is created in Ziptask, it appears as a normal event that opens its own list.

Regenerate creates a new link and immediately disables the old one — use it if your link is ever shared by mistake. You’ll need to re-add the new link to your calendar.

Support notes

  • Nothing shows up / it’s out of date. Calendar subscriptions refresh on the calendar app’s own schedule (often a few hours, sometimes up to a day). This is normal for .ics feeds and can’t be forced from Ziptask.
  • It’s read-only. Editing or deleting the event in your calendar does nothing in Ziptask — manage the task in the app.
  • Times look off. Events are timed at the list’s start/due time (9 AM / 5 PM by default) in the account timezone. If you subscribe from a device in a different timezone, your calendar shows the equivalent local time. If everything looks shifted, check the account timezone in Account Settings.
  • A teammate sees different events. Each link is personal and scoped to what that person can see — that’s expected.
  • You belong to more than one account. Each account gives you its own separate link, scoped to that account’s lists, timezone, and your feed options there. Turning the link’s options on or off, or regenerating it, in one account doesn’t affect the others. There’s no single combined feed across accounts — to see everything in one place, add each account’s link to your calendar app (they’ll overlay). Whichever account you’re currently in on the profile page shows that account’s link.
  • The link stopped working. It was likely regenerated (which disables the old one), or an admin turned Calendar Sync off for the account. Grab the current link from your profile settings.
