Privacy Policy

What we collect and why

We only collect information that we need to provide the service.

Account information

When you create an account we collect your name and email address. We use this to identify your account, send you password resets, and communicate with you about the service.

Task and team data

We store the task lists, items, descriptions, and team information you create inside Ziptask. This data belongs to you — we use it only to provide the service.

Activity data

We log actions taken within your account (such as creating or completing tasks) to power the activity feed feature visible to you and your team.

File attachments

If you upload files or images to task lists or projects, we store them on your behalf. You control what you upload and can delete attachments at any time.

Voice recordings

If you use the speech-to-list feature, your device microphone captures a short audio recording while you speak. That recording is sent over an encrypted connection to OpenAI's Whisper API for transcription and then to OpenAI's API to extract a structured task list. We do not store your audio recording or the raw transcript — both are discarded immediately after the task list is returned to you. This feature is optional and only active when you press the microphone button.

Analytics data

With your consent, we use Google Analytics (GA4) on our marketing site to understand how visitors find and use it. This may include pages visited, time on site, referring sources, browser and device type, and approximate location derived from your IP address. Google Analytics is only loaded after you accept cookies via the banner on our site. If you decline, no analytics data is collected. This data is associated with your browser, not your Ziptask account.

Sign-up attribution

When you start a sign-up inquiry, we record basic first-party context about how you reached us — the campaign tags (UTM parameters) on the link you followed, the page you landed on, and the website that referred you — both for the first time you found us and for your most recent visit — and attach it to your inquiry. We measure this ourselves, to understand which channels bring people to Ziptask. It is stored in your browser for up to 90 days from your last visit and then deleted automatically, contains no advertising identifiers, is not a cross-site tracker, and is not shared with advertising networks. Because it involves no advertising cookies or identifiers, it is recorded whether or not you accept cookies. It is stored with your sign-up record and is never used for profiling or retargeting.

Advertising and conversion measurement

With your consent, when we run advertising campaigns we use Google Ads conversion tracking on our marketing site to measure which ads lead people to sign up. To do this we collect an advertising click identifier (gclid, or its iOS/privacy-context equivalents gbraid/wbraid) and your Google Analytics client identifier, and we attach them to your inquiry so a resulting sign-up or paid subscription can be attributed to the campaign. This is only active after you accept cookies; if you decline, neither is collected. We share these identifiers with Google for measurement; we do not use them to build advertising profiles or to retarget you across other sites. This information is processed in the United States.

Error and diagnostic data

We use Sentry to collect crash reports and error information. This may include your IP address, browser type, and a session identifier. We use this data solely to identify and fix bugs — it is never used for advertising or profiling.

What we don't do

We do not collect payment card details directly (payments are handled by Stripe). We do not show third-party advertising inside Ziptask. We do not sell or rent your personal information. The only sharing for advertising purposes is the conversion-measurement data described above, sent to Google with your consent.

California — "Do Not Sell or Share"

Some U.S. state privacy laws (including California's CPRA) treat the use of advertising cookies for conversion measurement as "sharing" personal information. You can opt out at any time by selecting Decline on our cookie banner (or clearing the stored consent), which stops all advertising and Google Analytics collection. (The first-party sign-up attribution described above uses no advertising identifiers, is never shared for advertising, and is separate from this.)

How we use your information

Data retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal information within 30 days, except where we are required by law to retain it longer.

Your rights

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
• Delete your account and associated personal data
• Export your task data

Children's privacy

Ziptask is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. We will notify you of significant changes by email or by a notice in the app before the changes take effect. Continued use of Ziptask after changes take effect constitutes your acceptance of the updated policy.
